Creating Zoom meetings in Prospo
Once your Zoom account is connected, you can select Zoom as the meeting medium when scheduling any meeting in Prospo. Prospo creates the Zoom meeting automatically and stores the join link in the meeting record.
Steps
- Open the meeting scheduler from the dashboard or a client profile
- Fill in the meeting details (client, contacts, advisers, date, duration)
- In the Meeting Medium row, select Zoom
- Click Schedule Meeting
Prospo creates the Zoom meeting in your Zoom account and saves the join link to the meeting record. The meeting appears on your dashboard with a Join Call button.
If the Zoom option is greyed out, your Zoom account isn't connected yet. Go to Settings → Integrations to set it up first.
What Prospo creates in Zoom
When you schedule a Zoom meeting through Prospo, a meeting is created in your Zoom account with:
- The meeting title from your Prospo meeting form
- The start time and duration you selected
- Cloud recording enabled automatically
- A waiting room and mute-on-entry enabled by default
The Zoom meeting ID and join link are stored in the Prospo meeting record.
Auto-recording
Cloud recording is enabled on every Zoom meeting created through Prospo. When the meeting ends, Zoom saves the recording to your Zoom Cloud account. Prospo then imports the recording automatically when you next open the meeting record.
Imported recordings appear in the Transcription panel of the meeting record and can be used to generate AI file notes.
Joining the meeting
The join link appears on the meeting record in your Prospo dashboard as a Join Call button. You can share this link with meeting participants directly, or they receive it via the calendar invite.
After the meeting — recordings
When you open the meeting record after the meeting has ended, Prospo checks your Zoom Cloud account for recordings and imports them automatically. This includes:
- The meeting video (speaker view or screen share)
- An audio-only file
- A transcript, if one was generated by Zoom
