Importing contacts from external sources

Import contacts from any connected integration. Connect your account first, then run the import from the Contacts page.
Steps
- Go to Contacts in the sidebar and click Import Contacts.
- Select your source from the list of available integrations.
- Your contacts load. Use the search field to filter if needed.
- Select the contacts you want to import.
- Click Next: Map Clients to optionally link each contact to an existing Prospo client.
- Click Import.


Source-specific notes
Microsoft Outlook
- Requires your Microsoft 365 account to be connected. See Connecting your Microsoft 365 account.
- Only your personal Outlook contacts are imported. The organisation's Global Address List is not included.
- Imports name, email, and phone number.
AdviserLogic
- Requires your AdviserLogic account to be connected. See Connecting AdviserLogic.
- Contacts without an email address are skipped automatically.
- Joint accounts, super funds, and other non-individual entity types are excluded.
- Imports name, email, phone number, date of birth, employment status, title, and job title.
WorkSorted
- Requires your WorkSorted account to be connected. See Connecting WorkSorted.
- Imports name, email, phone number, date of birth, employment status, annual income, occupation, and title.
Monday.com
- Requires your Org Admin to configure the Monday.com connector in Admin - Connectors. See Connecting Monday.com.
- Items without an email address are skipped automatically.
- Imports name, email, phone number, and date of birth. Columns are matched by name - make sure columns are labelled clearly (e.g. "Email" not something generic).
Intelliflo
- Requires the Intelliflo connector to be configured by your Org Admin. See Connecting Intelliflo.
- Only individual person records are imported. Trusts, corporate entities, and other non-person record types are excluded automatically.
- Imports name, email, phone number, date of birth, employment status, annual income, target retirement age, title, and job title.
Zoho CRM
- Requires the Zoho CRM connector to be configured and authorised by your Org Admin. See Connecting Zoho CRM.
- The OAuth authorisation is completed at the organisation level - once done, all users in your organisation can import.
- Prospo supports all regional Zoho instances (.com, .eu, .com.au, and others).
Troubleshooting
Microsoft Outlook
- "Microsoft 365 is not configured for your organisation" - contact your Org Admin to set up the connector.
- "Outlook contact import has been disabled by your admin" - contact your Org Admin to enable it in Admin - Connectors - Microsoft 365.
- "Please reconnect your Microsoft Outlook account" - your connection has expired. Go to Settings - Integrations - Microsoft Outlook - Reconnect and sign in again.
AdviserLogic
- "Invalid credentials" - one or more values are incorrect. Verify each in your AdviserLogic account settings.
- No contacts load - check your AdviserLogic connection is active in Settings - Integrations.
WorkSorted
- "WorkSorted connector is not configured" - contact your Org Admin to set up the connector.
- Connection expired - go to Settings - Integrations - WorkSorted - Reconnect and re-authorise your account.
Monday.com
- "Monday.com connector not found" - your Org Admin needs to set up the connector in Admin - Connectors.
- No contacts appear - check that your board has items and that the email column has a recognisable name.
Intelliflo
- "Intelliflo Connector Disabled" - ask your Org Admin to enable it in Admin - Connectors.
- "All fields required" - your Org Admin needs to complete connector setup in Admin - Connectors.
Zoho CRM
- "Zoho CRM is not configured for this organisation" - an Org Admin needs to enter credentials in Admin - Connectors.
- "Zoho CRM is configured but not connected" - credentials are saved but the OAuth authorisation is missing. An Org Admin needs to complete it from the Import Contacts dialog.
- "Zoho CRM authentication failed. Admin needs to reconnect." - the OAuth tokens have expired. An Org Admin needs to complete the OAuth flow again.
