Sending an SMS to a client

Send SMS messages to your clients directly from Prospo, powered by Twilio. Messages go out from your organisation's provisioned number and are logged against the client's record automatically.


Before you begin

The contact you're messaging must have a phone number saved in Prospo. If a client's contacts have no phone numbers on record, the Send SMS option will be unavailable. Add a phone number to at least one contact first — see Editing contact details.


Steps

  1. Open the client's profile
  2. Click Send SMS from the client actions menu
  3. Select the recipient from the Recipient dropdown — the list shows all contacts linked to that client who have a phone number. The primary contact is pre-selected if they have a number.
  4. Write your message in the body field, or use AI to draft one (see below)
  5. Click Send Message

A confirmation appears when the message is sent successfully. The message body and AI prompt fields clear automatically so you can send another if needed.


Writing your message

The message body supports plain text with line breaks. As you type, a character counter appears below the editor showing how many characters you've used out of the 1,600 character limit.

For longer messages, Prospo also shows a Segments count. SMS messages longer than 160 characters are split into multiple segments by your carrier — each segment is billed separately. Keeping messages under 160 characters sends as a single segment.

Messages containing emoji or special non-standard characters use a different encoding and have a lower single-segment limit of 70 characters.


AI-assisted drafting

Click Draft in the AI SMS Generator field and describe what you want to say — for example, "Reminder about our annual review meeting on Thursday". Prospo generates a draft message you can review and edit before sending.


Sending to multiple contacts

Each SMS is sent to one recipient at a time. To send the same message to multiple contacts linked to a client, send separate messages by selecting each recipient in turn.
