Creating a client

Clients are the organisations or individuals your practice manages. Creating a client in Prospo is a two-step process: first you name the client and choose their entity type, then you link the people (contacts) associated with them.


Step 1 — Client details

Click Add Client from the dashboard or the Clients page, then fill in:

Required — the name you'll use to identify this client in Prospo

Entity type

Required — choose the type that matches how this client is structured (see Understanding client entity types)

Click Continue.


Step 2 — Add contacts

Contacts are the people linked to this client — the individuals Prospo will address in emails, meeting invites, and documents.

For each contact, enter:

Optional — Australian or international format

Relationship

Required — the options vary by entity type (e.g. Self, Director, Trustee)

Existing contacts: If the person already exists in Prospo, type their name or email and select them from the search results rather than creating a duplicate. Prospo will alert you if it detects a possible match when you enter an email address.

You can add more than one contact for most entity types by clicking Add another contact.

When you're done, click Create Client. If you want to add contacts later, click Skip for now — you can link them from the client profile at any time.


After creation

Once a client is created, you can add further details from their profile:

  • Reference date — used to auto-calculate the Agreement Signed date (−1 year) and FDS Deadline (−60 days)
  • Address
  • Client status — Lead, Prospect, Onboarding, Active, Passive, Inactive, or Deceased
  • Industry and company size (Company clients only)

Notes

  • Client names cannot be purely numerical
  • On a free plan, the number of clients you can create is limited. Contact your Org Admin if you reach this limit.
  • The user who creates a client is automatically assigned as an adviser on that client
