Selecting clients, contacts, and advisers

Every meeting in Prospo is linked to a client, one or more contacts from that client, and one or more advisers. These are set in the meeting scheduler form and determine who receives calendar invites and whose name appears on the meeting record.


Selecting a client and contacts

Client and contact selection works as a two-step process within the same form.

Step 1 — Select a client

In the Client field, type to search and select the client this meeting belongs to. Once selected, Prospo automatically loads the contacts linked to that client.

Step 2 — Select contacts

In the Contacts field, select one or more people from that client who will attend the meeting. At least one contact is required.

  • If the client has a primary contact, they are pre-selected automatically
  • Add multiple contacts — each appears as a chip in the field
  • Search by name or email to find a contact quickly
  • Remove a contact by clicking the × on their chip

Selecting a different client clears the contacts field and loads the new client's contacts.

If the client has no contacts yet

A form appears inline letting you create and link a contact without leaving the scheduler. Once saved, the new contact is selected automatically.


Selecting advisers

The Advisers field works the same way — search by name or email, select one or more people, and remove them with the × on their chip. Prospo adds you automatically when the form opens.

  • The adviser list shows all active users in your organisation
  • The field is optional — if left empty, the meeting is assigned to you by default
  • For Teams and Zoom meetings, each selected adviser receives a calendar invite with the join link
  • For PC / Microphone meetings, no invites are sent — advisers access the meeting record directly in Prospo
