Viewing a client's email history

View all emails sent to and received from a client's contacts without leaving Prospo. Email history appears directly on the client record when your Microsoft 365 account is connected.

Before you begin: Microsoft 365 must be connected to your organisation. See Connecting your Microsoft 365 account.


Viewing email for a specific client

  1. Open the client's profile
  2. Click Email in the client navigation
  3. All emails to and from that client's linked contacts are shown in the left panel

Click any email in the list to open it in the right panel. The full conversation thread loads inline, with replies nested in chronological order.


Viewing your full inbox

Go to Email in the main sidebar to open your full Outlook inbox within Prospo.

The inbox is divided into five folders:

Inbox

Received emails

Sent

Emails you've sent

Drafts

Unsaved drafts

Flagged

Emails you've starred

Deleted

Emails moved to trash

Click any folder in the left panel to switch views. Unread email counts appear as badges on each folder.


Reading an email

Click any email in the list to open it. The detail panel shows:

  • The sender and all recipients
  • The full email body with inline images
  • Attachments listed below the body — click to download or preview
  • Reply, Reply All, and Forward buttons in the action bar

Unread emails appear with a blue left border and bold text in the list. Opening an email marks it as read.


Searching emails

Use the search bar at the top of the email list to search across subject, body, and sender name or email address. Results update as you type.


Flagging emails

Click the Flag icon on an email to mark it for follow-up. Flagged emails appear in the Flagged folder and show a yellow flag indicator in the list.
