Generating a PowerPoint presentation from a meeting
Generate a branded Microsoft PowerPoint presentation from any meeting's File Note. Prospo builds the file using your organisation's template and saves it to the client's Files page. It also downloads to your device immediately.
Before you begin
Two things must be in place before generating a presentation:
- A File Note must exist for the meeting — the presentation is populated from the File Note content. If no File Note exists yet, generate or write one first. See Creating a file note.
- Your organisation must have a PowerPoint template uploaded — presentations use your org's default template for layout and branding. If no template has been set up, ask your Org Admin to upload one. See Managing presentation templates.
Steps
- Open the meeting record from your dashboard
- In the right panel, open the File Note you want to use as the basis for the presentation
- Click Generate Presentation
- Wait while Prospo builds the file — a spinner appears on the button during generation
- When complete, a dialog appears with the following options:
- Download Presentation — downloads the
.pptxfile to your device - Go to Files Page — opens the client's Files page where the presentation has been saved
- Close — dismisses the dialog (you can still find the file in the client's Files page)
- Download Presentation — downloads the
What goes into the presentation
The generated presentation is built from two sources:
- Your File Note — the content of the active File Note becomes the slide content
- Your organisation's PowerPoint template — controls the layout, design, colours, fonts, and branding
The presentation is not a live preview inside Prospo — it is a .pptx file you can open and edit in Microsoft PowerPoint or any compatible application.
File name and storage
The downloaded file is named in the format:
Meeting Title slides 1.pptx
The number increments if multiple presentations have been generated for the same client.
The presentation is automatically saved to the client's Files page in Prospo. You can find it there at any time under the PowerPoint file type.
Presentation templates
Presentations use your organisation's default PowerPoint template. Templates control all visual aspects — slide layouts, colours, fonts, and logo placement. They are standard .pptx files created outside Prospo and uploaded by an Org Admin.
To manage templates, go to Admin → Templates (Org Admins only). The most recently set default is used automatically for all generated presentations.
Troubleshooting
Generate Presentation button is greyed out — A File Note is currently being saved. Wait a moment and try again.
Presentation generated but content looks wrong — The presentation uses the File Note content at the time of generation. Edit the File Note and generate again to produce an updated version.
No template available — Ask your Org Admin to upload a PowerPoint template in Admin → Templates. Generation will not produce a well-formatted result without one.
