Manually importing a Teams recording
If a recording wasn't automatically imported — or if you want to re-import an updated version — you can manually trigger the import from within the meeting record. Prospo will fetch the recording and transcript directly from Microsoft on demand.
When to use manual import
- Auto-recording wasn't enabled when the meeting was scheduled
- The automatic import didn't trigger or is taking too long
- You want to re-import a recording after a connection issue
- You need to import a specific recording from a multi-recording session
Steps
1. Open the meeting record
From your dashboard, click on the meeting you want to import the recording for.
2. Click Import from Teams
In the Transcription section (middle panel), click Import from Teams. A dialog will open listing all recordings available for that meeting in Microsoft's cloud.
3. Review the available recordings
Each recording is listed with:
- A recording number and the date and time it was captured
- A Transcript badge if a transcript is available alongside the recording
- A status chip:
- Available — ready to import
- In progress — currently being processed
- Imported — already in Prospo
4. Click Import
Click the Import button next to the recording you want. Prospo will begin downloading the recording and transcript in the background.
You'll see the message: "Import started, the recording will appear here once processing completes. Refresh this page in a few minutes to see it."
5. Refresh to see the result
Return to the meeting record after a few minutes and refresh the page. The recording and transcript will appear in the Transcription section.
Uploading a local recording
If the recording isn't available in Microsoft's cloud (for example, a phone recording or an in-person meeting), you can upload a file directly:
- In the Transcription section, click Upload from local
- Select your file
Supported formats: .mp4, .m4a, .webm, .mp3, .wav, .vtt, .json
Troubleshooting
No recordings appear in the dialog — The meeting may not have been recorded, or the recording hasn't finished processing in Microsoft's cloud. Wait a few minutes and click Refresh in the dialog.
Import button is greyed out — The recording has already been imported, or it's currently being processed. Check the status chip.
Import started but nothing appears — Processing can take a few minutes for longer recordings. Refresh the page after 5–10 minutes. If it still doesn't appear, contact support.
