Viewing a meeting transcript

After a recording is imported and processed, the transcript appears in the meeting record with speaker labels and colour-coded blocks so you can follow who said what.


Where to find the transcript

Open a meeting from your dashboard. The transcript appears in the Transcription panel in the middle of the meeting record. Click the panel header to expand or collapse it.


How the transcript is displayed

The transcript is broken into blocks — one block per speaker turn. Each block shows:

  • Speaker name in bold at the top (resolved to the actual name of the adviser or contact)
  • Spoken text below the name
  • colour assigned to each speaker that stays consistent throughout the transcript, making it easy to follow the conversation

Up to ten speakers can be colour-coded in a single meeting.


Speaker name resolution

When a recording is imported from Teams, speaker labels are initially generic (Speaker A, Speaker B, and so on). Prospo uses AI to match these labels to the actual names of the meeting attendees — the advisers and contacts linked to that meeting. This happens automatically during import.

If a speaker couldn't be identified, their label will remain as a generic placeholder. You can correct this by editing the transcript — see Editing a transcript.


Live transcript (during recording)

If your organisation uses in-app recording, a live transcript appears in real time during the meeting. You'll see:

  • A pulsing LIVE indicator while the recording is in progress
  • A note that speaker labels will be resolved after the recording stops
  • An Identifying speakers… message as Prospo maps names after the recording ends

Once complete, the indicator changes to Live transcript ready.
