Importing meeting transcripts from Fireflies.ai
Fireflies.ai transcripts are imported directly into a meeting record in Prospo. Once imported, the transcript appears in the Transcription panel and can be used to generate an AI File Note.
Fireflies.ai imports transcript text only — no audio or video file is downloaded.
Before you begin: Your Fireflies account must be connected to Prospo. See Connecting Fireflies.ai.
Steps
Fireflies transcripts are imported from within a meeting record, not from the Contacts page.
1. Open the meeting record
Navigate to the meeting you want to attach the transcript to. This should be the Prospo meeting record that corresponds to the meeting recorded in Fireflies.
2. Click Import from Fireflies.ai
In the Transcription panel, open the import menu and select Import from Fireflies.ai. The import dialog opens.
3. Find your transcript
Use the filters to locate the right recording:

Each transcript in the list shows its title, the participants who attended, and the date and time it was recorded.
4. Select and import
Check the box next to the transcript (or transcripts) you want to import, then click Import Selected.
Prospo fetches the full transcript from Fireflies, converts it to Prospo's format, and attaches it to the meeting record.
After import
The imported transcript appears in the Transcription panel of the meeting record with:
- Speaker names from Fireflies preserved as labels
- Each line of dialogue with start and end timestamps
- The transcript file named in the format

From here you can:
- Review and edit the transcript — correct speaker names or fix any text errors
- Generate a File Note — use the transcript as the basis for an AI-written meeting summary
- Export the transcript as a DOCX or JSON file
Troubleshooting
No transcripts appear — Check your date range filters. If meetings were recorded recently, they may still be processing in Fireflies. Try widening the date range or clearing the Title filter.
"Failed to fetch transcripts" — Your Fireflies connection may have an issue. Go to Settings → Integrations and check that Fireflies shows as Connected.
Wrong transcript imported — Transcripts can be deleted from the meeting record and re-imported. Open the recording entry in the Transcription panel and delete it, then import the correct one.
