Setting up E-sign templates
Agreement templates let you set up pre-configured signature packages in DocuSeal Pro and reuse them across clients. Instead of manually selecting documents and adding signers each time, you apply a template and the structure is already in place.
What is an agreement template
An agreement template defines:
- The document or documents that need to be signed
- The signing fields (signature, initials, date, name) and where they appear on the document
- The roles of signers - for example, "Client" and "Adviser"
Once a template is set up, you can apply it when creating a new signature envelope for any client. The document structure and signing fields carry over automatically.
Setting up templates in DocuSeal Pro
Agreement templates are created and managed in DocuSeal Pro, which is the e-signature engine Prospo uses.
- Contact your Organisation Admin or open DocuSeal Pro via your organisation's settings.
- In DocuSeal Pro, go to the Templates section.
- Click New Template.
- Upload the document you want to use as the base (for example, your standard service agreement or fee disclosure statement).
- Place the signing fields on the document - signature blocks, date fields, initials - and assign each field to a signer role.
- Name the template and save it.



Using a template in Prospo
- Open the client record and go to the Agreements tab.
- Click New Agreement.
- Select the agreement template you want to use.
- Add the signers - select the client and any other contacts who need to sign.
- Review the envelope and click Send.
The client receives an email with a link to review and sign the document. You can track the status in real time in the Agreements tab.




Tracking signature status
Each envelope moves through these statuses:
- Draft - the envelope has been created but not yet sent
- Sent - the envelope has been sent to the signers
- Signed - one or more signers have completed their signature
- Completed - all signers have signed
When all signers have completed, the signed document is automatically saved back into the client's files in Prospo.
All signature events are logged in the client activity timeline for compliance purposes.
